Is your donor data safe? Why spreadsheets and WhatsApp may not be enough

For many mosques and small charities, these approaches are familiar and convenient. But they can also create practical challenges that are worth thinking about.

Information can be shared accidentally — a group message sent to the wrong contact, or a file forwarded without realising what it contains. Records can become difficult to track when multiple versions of the same spreadsheet exist across different devices. Messages can be deleted, phones can be lost, and donor information can become hard to find when it's needed most.

There is also a Gift Aid angle to consider. HMRC expects charities to keep clear, accurate records of declarations and donations. When records are spread across personal devices and informal tools, building a reliable audit trail becomes much harder — and that can create difficulties at claim time.

None of this means spreadsheets or messaging apps are inherently wrong. Many organisations rely on them and manage well. But as a charity grows, or as Gift Aid claims become more frequent, the limitations of informal tools tend to become more apparent.
