2) Who operates the service
GiftAidManager is operated by SENAPTIX LIMITED (Company No: 16687527).
3) Service scope
GiftAidManager provides software for Gift Aid record management, declaration capture, donation tracking, and claim-preparation support. The service is provided as an operational platform and not as legal or tax advice.
4) Eligibility and account security
You must keep login credentials secure, restrict access to authorised users, and notify us promptly if you suspect unauthorised use or a security incident.
5) Your data and compliance responsibilities
You are responsible for ensuring personal data submitted through the service is accurate, lawfully collected, and processed in line with applicable law, including UK GDPR, the Data Protection Act 2018, and HMRC requirements where relevant.
6) HMRC Gift Aid compliance responsibilities
Each charity user remains responsible for ensuring Gift Aid declarations are valid, donor tax statements are correctly presented, records are retained for required HMRC periods, and claims are accurate and timely. The platform supports administration and record keeping but does not replace your charity’s legal and tax responsibilities.
7) Data protection and privacy
Our Privacy Policy and Cookie Policy explain how personal data is handled. You agree to cooperate with reasonable compliance and security requests, including rights handling, audit support, and incident response.
8) Acceptable use
You must not misuse the service, bypass security controls, submit unlawful content, or attempt unauthorised access to data, systems, or other tenant environments.
9) Third-party services
Parts of the service rely on third-party providers (for example authentication, hosting, and email delivery). Their availability may affect parts of the service.
10) Availability and changes
We aim for reliable operation but do not guarantee uninterrupted availability. We may update functionality, security controls, and operational processes over time.
11) Suspension and termination
We may suspend or terminate access where reasonably required for security, legal compliance, risk management, or material breach of these terms.
12) Intellectual property
All platform software, branding, and content (excluding your own submitted data) remain the property of SENAPTIX LIMITED or its licensors. These terms grant a limited right to use the service only as permitted by law and these terms.
13) Liability
To the extent permitted by law, GiftAidManager is not liable for indirect or consequential losses. We do not warrant that any specific donation or claim will qualify for Gift Aid. Nothing in these terms excludes liability that cannot be excluded by law.
14) Changes to these terms
We may update these terms from time to time for legal, regulatory, security, or product reasons. Continued use of the service after updates means the revised terms apply.
15) Governing law and jurisdiction
These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction unless mandatory law requires otherwise.
